Job Summary

We are seeking a detail-oriented and organized Sample Coordinator to support our Sales and Quality Control teams. The Sample Coordinator will be responsible for coordinating customer sample requests, ensuring samples are accurately prepared, inspected, tracked, documented, and delivered on time.

This position will work closely with Sales, Planning, Production, Purchasing, and Quality Control to monitor sample activity, communicate status updates, identify potential delays, and help ensure customer requirements are met. The Sample Coordinator will also maintain sample inventories and records, coordinate shipments, and support the overall organization and readiness of the sample and inspection areas.

The ideal candidate is highly organized, detail-oriented, dependable, and comfortable working in a fast-paced manufacturing or production environment.

Supervisory Responsibilities

  • Provide day-to-day work direction, training, and support to Quality Control team members and temporary employees.
  • Train new employees and temporary staff on inspection procedures, quality standards, and established protocols.
  • Help coordinate daily workflow within the Quality Control area.
  • This position does not have formal authority to hire, terminate, discipline, set compensation, or independently make employment decisions unless specifically delegated by management.

Duties & Responsibilities

  • Train Quality Control team members, including new hires and temporary employees, on inspection procedures, quality standards, and established protocols.
  • Coordinate daily workflow in the Quality Control area to help ensure inspections are completed accurately and on schedule.
  • Inspect incoming materials, in-process production, and finished goods for defects, inconsistencies, and compliance with established specifications.
  • Track and document product defects, rework activity, and inspection results using WMS systems, Excel spreadsheets, and other required records.
  • Assist with identifying potential causes of product defects, nonconformances, and rework issues.
  • Inspect samples using appropriate methods, including comparison to established standards, measurements, and functional review.
  • Complete inspection reports, quality logs, and related documentation accurately and in a timely manner.
  • Route products for rework when necessary and complete required documentation to verify status and disposition.
  • Perform final quality checks on finished products in accordance with established specifications and procedures.
  • Review customer and sales sample requests with the Quality Control Manager to help ensure sample requirements and related documentation are accurate.
  • Coordinate sample activity across Sales, Planning, Production, Purchasing, and Quality Control.
  • Track sample requests and communicate updates, delays, or issues to the appropriate internal teams.
  • Coordinate sample shipments and maintain accurate records of samples and related inventory.
  • Send daily recaps summarizing completed work, outstanding items, and quality concerns identified during the shift.
  • Conduct monthly audits of inspection-area inventory and related records.
  • Maintain organized sample inventories, inspection records, and documentation.
  • Help maintain showroom and sample areas in an organized and presentable condition.
  • Follow all company safety procedures and established work practices.
  • Help ensure compliance with customer-specific requirements, internal procedures, and quality standards.
  • Perform other related duties as assigned.

Qualifications

  • Strong attention to detail and ability to identify defects, inconsistencies, and deviations from established specifications.
  • Working knowledge of quality inspection methods, manufacturing processes, and standard operating procedures.
  • Ability to accurately complete inspection records, quality logs, reports, and related documentation.
  • Basic computer proficiency, including Microsoft Office; Excel experience preferred.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Ability to communicate clearly and professionally with team members, supervisors, and cross-functional departments.
  • Ability to work effectively in a fast-paced manufacturing or production environment.
  • Ability to follow established procedures and reinforce quality expectations.
  • Strong problem-solving and follow-through skills.
  • AQL (Acceptable Quality Limit) knowledge is a plus.
  • Bilingual skills are a plus.

Education & Experience

  • High school diploma or GED required.
  • 2-3 years of experience in manufacturing, production, quality control, inspection, or a related environment preferred.
  • Prior experience performing inspections, documenting defects, and maintaining quality records preferred.
  • Experience working with WMS systems or inventory tracking systems is a plus.

Physical Requirements

  • Ability to stand and walk for extended periods throughout the workday.
  • Ability to bend, reach, stoop, and move throughout the work area as needed.
  • Ability to handle, examine, and evaluate materials and finished products.
  • Ability to visually inspect products and identify defects, inconsistencies, or deviations from specifications.
  • Ability to work effectively in a manufacturing or production environment.
  • Ability to perform repetitive inspection and documentation tasks as required.
