Bookkeeper/Administrative Assistant/Receptionist/

HOURS 7:30am-4:00 pm

Job Summary

• Performs varied secretarial and administrative duties for an administrative department and performs AP and Cash bookkeeping duties

General Accountabilities

• Edits documents produced by others.
• Ensures confidentiality and controls access to sensitive information
• Responds to inquiries and requests for information requiring knowledge of departmental and company policies and procedures.
• Serves as an internal resource to administrators or staff on departmental and company procedures.
• Performs administrative duties associated with scheduling and coordinating meetings and planning events.
• Arranges with vendors for services, prepares agendas, gathers and organizes supporting information, and oversees production and distribution of related materials.

• Greets visitors and obtains name and other pertinent information, notifying appropriate individuals of visitor's arrival.
• Answers and routes calls, as necessary, to appropriate individuals.
• Accurately takes and delivers messages.
• Maintains log of all calls requiring further action.
• Performs a variety of routine clerical tasks.
• Maintains clean and orderly reception area.
• Retrieves, sorts and delivers mail.

• Receives, records, and banks cash, checks and vouchers.
• Complies with federal, state, and company policies, procedures, and regulations.
• Inputs AP invoices and completes AP runs
• Record journal entries for cash accounts and complete bank reconciliations
• Reconciles or notes and reports discrepancies found in records.
